Records Officer job at National Social Security Fund (NSSF)

To ensure the safe handling, storage, retrieval, use and disposal of the Fund's physical and electronic records. Duties and Responsibilities include: - Liaise with the various sources that generate records, both internal and external to the Fund, to ensure timely delivery and submission of records for scanning into the system.
- Participate in the development and tracking of the record sectionâs strategic plans and ensure that they are aligned with the departmental strategy.
- Collaborate with different teams and stakeholders within and outside the fund
- Monitor document/files movement, dispatch outgoing mail and receive incoming mail.
- Respond to records queries from clients, departments and branches.
- Operate, care for and keep safe office equipment like scanners, copiers, binding machines, bulk filing cabinets, etc.
- Operate the NSSF official mailbox 7140 Kampala and process of mail and parcels received through it.
- Receive records and acknowledge receipt of records from the record users by making a reconciliation between the details on the transfer list and actual records.
- Retrieve documents requested by users in the organisation to facilitate decision-making.
- Issue out records and make entries in the borrowers' register, and issue them to the respective borrowers.
- Prepare, scan and index records into the ADA software system.
- Submit progress performance reports on assigned activities
- Review own performance and seek feedback to improve performance.
Education Requirements: A Bachelor`s degree in Library and Information Science, Records and Archives Management, Information Studies or a related Degree. Work Experience: 2 years of working experience in records and information management in a reputable organisation. Key Competences: - Commitment & Integrity
