The Center has helped to improve millions of lives in more than 80 countries by waging peace, ï¬ghting disease, and building hope. It is guided by a fundamental commitment to human rights and the alleviation of human suffering. TCC seeks to prevent and resolve conflicts, enhance freedom and democracy, improve health and collaborates with other organizations, public and private, in its mission worldwide. Since 1996, TCC has supported the Uganda Ministry of Healthâs (MoH) River blindness program and tremendous progress has been made with 45 of 50 districts achieving elimination or interrupted disease transmission. Effective September 2024, TCC expanded its support to the Ministryâs Mental Health Program. It provides supportive staff to work in partnership with the Government, in implementing activities for the national mental health program, in alignment with MoH policy and strategic plans, working broadly to promote awareness about mental health issues, inform public policy, achieve equity for mental health care comparable to other health care, and reduce stigma and discrimination against those with mental illnesses. Please note: This position is open to Ugandan nationals only. Summary of the job description The Administrative Assistant will provide front-line office support and manage front-desk activities, coordinate communications, and support senior management and team members. This position handles financial transactions, organizes meetings and events, manages office supplies, and maintains accurate records. Acting as the first point of contact for visitors, the Administrative Assistant liaises with external partners and service providers. This role reports to the Senior Administrator. Primary Responsibilities: - Handle the front desk or reception area, being the first point of contact for all TCC visitors.
- Supervise the cleaning of the organization's premises.
- Manage kitchen supplies/other sundries and inventory.
- Support the organization of national meetings, taking minutes and maintaining notes and other events reports as required
- In liaison with the Logistics & Transport Officer, handle hotel reservations for local staff during field visits.
- Assist the Senior Administrator in planning and coordinating international meetings
- Support the Senior Administrator in coordinating day-to-day office management duties.
- Handle photocopying of all the necessary materials for office and fieldwork.
- Prepare and send letters, emails, and other correspondences to the districts and local partners.
- Handle all petty cash payments.
- Responsible for handling and delivering documents, packages, and correspondence within and outside the organization as needed
- Ensure compliance with all organizational policies and procedures. Coordinate efficient office procedures in support of program activities
- Maintain professional growth and development of self by identifying educational/training programs, professional organizations, activities, and resources to maintain knowledge of national trends and to promote leading-edge expertise
- Perform other duties as assigned by the Senior Administrator.
Minimum Qualifications: A High School diploma or equivalent and five years of clerical or secretarial experience or a bachelorâs degree in related field. Proficiency with various personal computer software applications. Positions in this classification may require keyboarding skills. Preferred Qualifications: - Proven ability to work independently and collaboratively as part of a team.
- Strong verbal and written communication skills with the ability to convey information clearly and professionally.
- Excellent customer service skills; friendly, approachable, and solution-oriented attitude.
- Strong organizational skills with the ability to meet deadlines and manage multiple competing priorities in a fast-paced environment.
- Proven experience in International Development Organizations is highly desirable
- High attention to detail and accuracy.
- Experience coordinating meetings, travel arrangements, and event logistics
