This includes handling documentation, logistics coordination, resource tracking, timekeeping, reporting, and liaising with both internal and external stakeholders. The role ensures smooth daily operations and assists the site leadership in managing work force related and logistical tasks. Key Responsibilities - Manage and maintain site documentation, including work permits, time sheets, attendance logs, and site access records,
- Coordinate site logistics such as accommodation, transport, PPE issuance, and site facility management.
- Support site onboarding processes for new personnel, subcontractors, and vendors.
- Maintain and update site reports, including daily manpower reports, work progress logs, and issue trackers.
- Liaise with local authorities and project stakeholders to manage regulatory paperwork and compliance documentation.
- Assist with procurement requests, material receipt confirmations, and delivery tracking onsite.
- Provide administrative support for meetings, toolbox talks, and project briefings, including minute-taking and action item tracking.
- Manage office supplies, stationery, and administrative equipment required for site operations.
- Ensure that all administrative activities comply with Schneider Electricâs site management policies and procedures.
- Act as the main point of contact for internal site communication and coordinate with the central project office when necessary.
Required Qualifications & Experience Education - Diploma or bachelorâs degree in business administration, Project Management, or a related field.
Experience - Minimum 3â5 years of experience in site or project administration within the construction, oil & gas, or infrastructure sectors.
- Experience in working with multinational teams and within structured project environments.
Technical Skills - Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with document control systems and basic project management tools.
- Knowledge of site administration processes, workforce timekeeping, and logistical coordination.
- Basic understanding of procurement and material handling processes on project sites.
Personal Attributes - Highly organized with excellent attention to detail.
- Effective communication skills, both written and verbal.
- Ability to handle multiple tasks in a fast-paced, field-based environment.
- Proactive and flexible approach to supporting site operations.
- Trustworthy with sensitive information and committed to confidentiality.
Preferred Additional Qualifications - Previous experience supporting Schneider Electric projects or similar EPC contractors.
- Familiarity with local labor laws, HSE documentation, and site access regulations.
- Fluency in English required; knowledge of Swahili is an advantage.
Work Conditions - Full-time on-site role in a remote or industrial setting within project scope area.
- PPE and HSE compliance always required on-site.
- May involve occasional travel between site locations or to local authorities.
