On behalf of a valued client, Talent Sphere is seeking qualified, organized, and proactive administrative professionals to manage front-office functions and secretarial workflows. Position Overview We are seeking three (3) highly efficient and articulate Secretaries to oversee day-to-day administrative operations, manage office communications, schedule executive appointments, and handle official correspondence. The ideal candidates will serve as key liaison personnel, maintaining orderly office systems and facilitating exceptional administrative support. Key Responsibilities - Office Administration: Manage daily front-desk and office workflows, maintain visitor logs, and handle incoming/outgoing telephone calls and inquiries.
- Document Management: Draft, format, edit, and file official letters, reports, memos, and meeting agendas with high accuracy.
- Scheduling & Calendars: Coordinate executive appointments, schedule meetings, arrange logistics, and maintain official calendars.
- Record Keeping & Confidentiality: Maintain secure paper and digital filing systems, ensuring strict confidentiality for sensitive organizational data.
Minimum Qualifications & Requirements - Education: Diploma or Degree in Secretarial Studies, Business Administration, Communication, or a related field.
- Technical Skills: High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern communication tools.
- Communication & Interpersonal: Exceptional written and verbal communication skills, a professional demeanor, and a polite, welcoming manner.
- Attributes: Excellent organizational ability, high integrity, time-management precision, and ability to handle multiple tasks efficiently.
