East African Crude Oil Pipeline (EACOP) LTD (EACOP LTD) invites interested and reputable companies to express their interest in supply of video conference room bar pro, table microphone analog, installation, support and maintenance services to the EACOP Project.
The EACOP Project involves the construction and operation of a buried and crossbarred 24 inches pipeline to transport crude oil from Lake Albert area in Uganda to eastern coast of Tanzania for export to international markets. The pipeline will run from Kabale, Homa District in Uganda to the Chaggaonzi peninsula in Tanga, Tanzania. The length of the pipeline is 1,443 km, with 296km will be in Uganda and 1,147 km in Tanzania. In Uganda the pipeline has 2 pumping stations along its length. In Tanzania, the pipeline has 4 pumping stations and 2 pressure reduction stations along its length before terminating in a Marine Terminal at Tanga.
BRIEF DESCRIPTION: For Airway Crude Oil Pipeline (EACOP) Ltd invites Expressions of Interest from qualified, licensed and experienced suppliers capable of providing: video conference room bar pro equipment, analog table microphones and related accessories; professional installation, technical support and maintenance services for the EACOP Project; intermodal containers, must demonstrate proven experience in this supply, installation and maintenance of video conferencing and audio visual communication systems, as well as the technical capacity and operational presence in Uganda.
SCOPE OF SERVICES: This scope of services covers equipment supply, installation and configuration, support and maintenance in addition to documentation required to support commercialization and collaboration within EACOP offices.
EQUIPMENT SUPPLY: The supplier shall provide and deliver the required equipment including: video conference room bar pro system, analog table microphones and any additional accessories required for optimal system performance; all equipment should meet international standards and be compatible with modern video conferencing platforms.
INSTALLATION AND CONFIGURATION: The supplier will install the conference equipment in the designated meeting room, configure cameras, microphones, audio systems and network connectivity, and conduct system testing to ensure optimal audio and video performance.
SUPPORT AND MAINTENANCE: Provide ongoing technical support including preventive maintenance and health checks, replacement or repair of faulty components where necessary, and software and firmware updates.
DOCUMENTATION: Provide documentation including system configuration details and installation reports.
MINIMUM REQUIREMENTS: Interested companies expressing their interest must submit documentation demonstrating the following: certificate of incorporation/registration and a valid copy of trading/business license; recent Uganda Registration Services Bureau (URSB) search (attach copy); proof of valid registration on the national supplier database maintained by the Petroleum Authority of Uganda; compliance with the Petroleum Refining, Conversion, Transmission and Distribution strategy (National Contract) Regulations, 2016; proof of registration with Ugandan Revenue Authority (URA) and valid tax clearance certificate; audited financial accounts for the past three years; evidence of Quality, Health, Safety, and Environmental (HQSE) management system compliant with local and industry standards/certificates for ISO 45001:2018, ISO 14001:2015 and ISO 9001:2015; relevant registration/certification with HSE regulatory and certifying bodies (Workplace certificate from the QSH department); signed copies of anti-corruption, anti-bribery, compliance and human rights policies.
TECHNICAL CAPABILITY: The supplier must demonstrate capability to supply video conferencing room bar pro equipment, analog table microphones and related accessories; install and configure enterprise video conferencing and audio visual systems; integrate systems with modern conferencing platforms such as Microsoft Teams or equivalent; and provide technical support, preventive maintenance and troubleshooting services.
RELEVANT EXPERIENCE: Interested companies must demonstrate proven experience in the supply and installation of video conferencing and audio visual communication systems, provide at least two (2) similar projects or contracts completed within the last five (5) years, and provide client references or completion certificates where applicable.
PERSONNEL AND TECHNICAL RESOURCES: The company should demonstrate availability of qualified ICT or audio-visual technicians capable of installation and system configuration, technical personnel capable of system maintenance, diagnostics and troubleshooting, and access to a manufacturer support or certified partnerships where applicable.

NOTE: EACOP LTD will review and assess the documents provided by companies that have expressed interest in accordance with this EOI and conduct evaluations based on internal criteria to determine which companies or local joint ventures will be included in the list of pre-qualified companies or local joint ventures. Only the prequalified companies or local joint ventures will receive, by signing a Non-Disclosure Agreement (NDA), an invitation to bid as a continuation of the call for tender process. EACOP LTD reserves the right at its sole discretion to make the decision to select or reject a company or local joint venture and maintain its decision without having to give reasons to the company or local joint venture concerned.
