Key Responsibilities - Records Management & Documentation
- Maintain secure physical and digital filing systems
- Implement and manage e-filing systems for document storage/retrieval
- Classify, index, and archive documents per institutional policies
- Digital Records & Correspondence
- Lead transition from manual to digital records management
- Ensure data accuracy/integrity in digital systems
- Scan, digitize and upload documents to institutional databases
- Manage physical/digital correspondence distribution
- Compliance & Confidentiality
- Enforce records retention policies and regulatory compliance
- Maintain confidentiality/security of institutional records
- Facilitate audit processes through document retrieval
- Administrative Support
- Prepare/distribute reports, memos and official documents
- Respond to records/information requests
- Coordinate interdepartmental document workflows
- Customer Service & Stakeholder Engagement
- Assist staff/students/stakeholders with records access
- Advise on records management best practices
- Handle documentation process inquiries
Key Result Areas â Digital records management efficiency â Compliance and security maintenance â Operational effectiveness â Customer service excellence Qualifications & Experience - Diploma in Records/Archives Management, Library Science or related field
- Bachelor's degree (added advantage)
- 2+ years records management/administrative experience
- Proficiency in digital records systems and e-filing
- Knowledge of document control procedures
Skills & Attributes Technical: - Advanced MS Office and database management
- Digital records system proficiency
Professional: - Exceptional attention to detail
- Strong organizational/analytical skills
- Discretion with sensitive information
