Summary Date Posted: Wednesday, March 05 2025, Base Salary: Not Disclosed Similar Jobs in UgandaLearn more about EducateEducate jobs in Uganda JOB DETAILS: What you will do: Procurement and Price Research & Verification â 35% â Implement the procurement policy and strategy and promote purchasing best practices to maximize savings. â Ensure procurement processes are complete, accurate, documented and in compliance with relevant laws & E! Policy. â Anticipate procurement needs to pre-select competitive vendors, and create systems to track and strategically guard against common procurement challenges â Ensure proper documentation for all procurement requests before presentation for authorization. â Ensure that standard operating procedures for the procurement function are understood and applied by staff. â Coordinate the awards to the best bidder and draft a contract for the selected vendor. â Carry out regular market research and update the price list at least twice a year as a guide for user departments â Ensure that price comparisons or other procedures do not delay procurements past communicated deadline â Formally and proactively communicates and advises budget holders and Operations Manager on instances of cost reduction. Contracts and Supplier Management (25%) â Spearhead the prequalification process for vendors and service providers in anticipation of implied procurement needs. â Build and keep a well-maintained pipeline of preferred vendors to lower procurement related risks. â Maintain well documented vendor lists with company products and shares with management as is necessary. â Build and maintain a strong E! relationship with vendors for the benefit of wholesale discounts & customer loyalty awards within the boundaries of the Educate! Ethics Guide. â Provide timely, accurate and adequate specifications to vendors and respond to clarifications in a timely manner. â Ensure vendor contracts have complete specifications and right invoices are paid promptly. â Participate in negotiation of contract terms on a range of central contracts and monitor performance against these contracts. Quality Control (20%) â Ensure quality of materials or services to ensure consistency with requirements through quality monitoring from initiation to usage. â Conclude procurements within the time the stipulated timelines â Ensure there are operational controls of the facility services such as telephone, internet, reception, security etc. â Ensure maintenance and optimization of Head Office IT infrastructure and systems â Ensure proper safety of the procurement documents â Suggest improvements based on regular staff feedback and respond to challenges within stipulated timelines. â Seek and respond to feedback from end users on quality of products delivered to ensure value for money. Contractor Management (20%) â Lead the recruitment process for Enumerators (from adverting to shortlisting of candidates, conducting interviews, awarding and contracting) â Maintain a clean, up-to date database of Enumerators for different programs â Process payments for Enumerators in a timely manner â Collect and provide feedback to Enumerators and generally ensure that them experience with E! is pleasant Who You Are Youâre a driven and detail-oriented professional with at least 3 years of proven experience in procurement, and 2 years of experience in logistics or supply chain management. You thrive in fast-paced environments, balancing multiple priorities with a strong sense of integrity, organization, and independence, while also being a collaborative team player. You might be a great fit if you: â Hold a Bachelorâs Degree, ideally in Supply Chain Management, Logistics, Business Administration, or a related field. â You are passionate about streamlining procurement processes and ensuring the timely delivery of goods and services. â You bring excellent negotiation, organizational, and problem-solving skills to the table. â Are highly proficient with Google Suite and Microsoft Office, especially MS Word and Excel. â Have some experience working in a startup or social enterprise environment, where agility and adaptability are key. â Are excited about Educate!âs missionâwhile previous experience in education or youth development isnât required, a background working with youth or advancing youth agendas in a non-profit setting would be a plus.
