This dual role ensures the office runs efficiently, all administrative and scheduling functions are managed, and the Head of Carbon Development is supported in coordination, reporting, and stakeholder engagement. The ideal candidate is highly organized, detail-oriented, and comfortable handling both operational and executive support responsibilities in a fast-paced, mission-driven environment. Key Responsibilities - Manage day-to-day office operations, filing, office supplies, and vendor management.
- Maintain office records, correspondence, and official documentation.
- Coordinate small procurement tasks, service providers, and office maintenance needs.
- Support team logistics, including meeting room management, travel bookings, and local events.
- Act as the primary administrative support for the Head of Carbon Development, managing calendars, travel schedules, and meeting preparation.
- Coordinate internal and external meetings.
- Ensure smooth information flow between leadership and team members.
- Serve as a central point of contact for office communications and leadership correspondence.
- Support team coordination for workshops, trainings, and high-level stakeholder visits.
- Assist in tracking deadlines and following up on action items for leadership.
- Prepare monthly office operations and admin reports.
- Maintain and update office contact lists, vendor directories, and official document registers.
Required Expertise & Qualifications - 5+ years in office management, executive assistance, or administrative coordination, ideally in multi-national company or corporate environment.
- Experience in managing senior executive schedules and sensitive correspondence.
- Strong organizational and coordination skills with proven ability to handle multi-tasking.
- Proficiency in MS Office Suite and document management tools.
- Familiarity with basic procurement and admin compliance.
Education & Certifications - Diploma or Bachelorâs degree in Business Administration, Office Management, Secretarial Studies, or related field.
- Certification in office administration, secretarial work, or project support is a plus.
Required Competencies - High attention to detail and ability to maintain confidentiality.
- Excellent written and verbal communication skills.
- Service-oriented approach with strong interpersonal skills.
- Proactive and reliable, with ability to prioritize tasks and manage time effectively.
