Job Description Assists with the day to day planning, coordination, and tracking of company vehicles and delivery operations across sites. Supports logistics efficiency by maintaining precise fleet records, monitoring vehicle status, and organizing critical delivery documentation. Key Duties & Responsibilities - Maintain vehicle movement records detailing departures, destinations, drivers, expected return times, and real time status.
- Monitor GPS tracking systems to observe vehicle locations and identify route deviations, prolonged stops, or delivery delays.
- Communicate delivery schedules and operational updates directly with drivers and dispatch personnel.
- Prepare authorized fuel vouchers and fuel instructions in strict adherence to company control guidelines.
- Collect and log mileage and fuel usage data into tracking databases and spreadsheets.
- File delivery documentation, signed waybills, proof of delivery notes, fuel receipts, and trip sheets systematically.
- Assist in identifying vehicles approaching scheduled maintenance, inspections, insurance renewals, or licensing deadlines based on mileage, operating hours, or dates.
- Record breakdown and delay details to notify responsible managers without instructing drivers to violate road safety rules to meet schedules.
- Generate daily and weekly logistics reports from approved templates while coordinating with warehouse, sales, finance, maintenance, security, and customer service teams.
Skills - GPS tracking, route monitoring, and basic route planning.
- Trip logging, waybill control, and fleet document organization.
- Computer literacy and spreadsheet usage for data entry and reporting.
- Numeracy skills for tracking fuel records and vehicle mileage.
- Professional communication and coordination skills with drivers and internal teams.
Education Qualifications & Experience Education Qualifications - Bachelor's Degree, Higher Diploma, Diploma, or National Diploma in Logistics, Transport Management, Supply Chain, Procurement, Business Administration, Fleet Management, Commerce, Operations Management, Information Technology, or related programs.
- National Certificate, certificate, or vocational business qualification in relevant logistics, transport, or administrative fields.
- Uganda Advanced Certificate of Education (UACE) or strong Uganda Certificate of Education (UCE) completion with demonstrated computer skills.
Experience - No prior work experience required.
- Onboarding includes training covering dispatch procedures, GPS systems, fleet documentation, fuel control, route planning, driver communication, maintenance scheduling, logistics terminology, and reporting.
