Job Summary: Fleet Assistant will report to the Transport Manager, and will be responsible for ensuring the coordination of staff movement, allocation of vehicles and Motorcycles for field movements, overall care and maintenance of Vehicles, Motorcycles and Generators whilst ensuring the security/ safety of the materials and maintaining audit-compliant records Key Duties and Responsibilities: - Monitor and maintain an up-to-date preventive maintenance schedule for all vehicles, motorcycles, and generators, ensuring timely servicing in line with manufacturer recommendations and IRC fleet procedures.
- Coordinate and schedule vehicles and motorcycles for routine servicing, repairs, and inspections with approved service providers to minimize operational downtime.
- Track vehicle and motorcycle service history, mileage, repair costs, and replacement of spare parts while maintaining accurate maintenance records.
- Follow up on pending repairs and ensure all maintenance work is completed satisfactorily before assets are returned to operations.
- Conduct routine inspections of vehicles and motorcycles to identify mechanical issues and recommend corrective actions.
- Implement and direct IRC standard Vehicle policies and procedures, with particular attention to safety and security issues.
- With support from the Transport Manager, he will prepare the End of monthly reports and fuel reconciliations for Yumbe & Imvepi Field site.
- Ensure that all vehicles carry the required on-board documentation and that all documents are kept current (including insurance).
- Inspect and record the condition of vehicles and motorcycles through daily checklist files, ensuring timely reporting and follow-up of identified defects.
- Ensure all vehicles are properly cleaned daily.
- With support from Transport Manager, manage and be accountable for requested and allocated fuel for Vehicles, Motorcycles and generators by ensuring accurate consumptions.
- Support the Transport Manager to evaluate and manage fleet operations, utilization, maintenance needs, and overall transport performance.
- Prepare reconciliations for fuel consumed on a weekly basis before fuel replenishment is done.
- Ensure that all vehicles are secure when not in use.
- Be familiar with local regulations / laws.
- Any other duties as may be assigned by the supervisor.
Qualifications, Skills and Experience: - Degree or Diploma in Mechanical Engineering, Transport and Logistics Management, Supply Chain Management, Business Administration, or any other related field.
- A certificate or diploma in Motor Vehicle Mechanics/Automotive Engineering will be an added advantage.
- Minimum of 2 yearsâ experience in fleet management, transport operations, or a related role, preferably within an NGO or humanitarian environment.
- Practical knowledge of vehicle and motorcycle operations, preventive maintenance, and basic mechanical troubleshooting.
- Experience monitoring and scheduling vehicles, motorcycles, and generators for servicing, repairs, and inspections.
- Knowledge of generic Supply Chain management systems and forms.
- Knowledge of fleet documentation, fuel management, reconciliation, vehicle utilization monitoring, and reporting.
- Ability to identify mechanical issues and coordinate timely repairs with service providers.
- Knowledge of transport procedures, road safety standards, and relevant Uganda traffic regulations.
- Proficiency in Microsoft Office applications, particularly Excel, and ability to maintain accurate fleet records.
- Good analytical, organizational, communication, and reporting skills.
- Ability to work independently, manage multiple priorities, and maintain high levels of integrity and accountability.
- Must possess a valid Ugandan Driving Permit with a clean driving record.
