This is a full-time position reporting to the Finance and Administration Director. Responsibilities or duties 1. Financial Management - Maintain accurate financial records, cashbooks, ledgers, and supporting documentation.
- Process payments, invoices, petty cash, advances, and staff accountabilities.
- Prepare bank reconciliations and support budget monitoring.
- Support preparation of financial reports and project expenditure tracking.
- Ensure compliance with statutory requirements including PAYE, NSSF, WHT, and EFRIS.
- Support payroll processing and financial documentation management.
- Support internal and external audit processes.
2. Administration and Operations - Coordinate office administration and operational activities.
- Manage office supplies, inventory, and asset records.
- Support procurement and supplier management processes.
- Coordinate logistics for trainings, meetings, workshops, and field activities.
- Maintain organized filing and document management systems.
3. Human Resource and Staff Support - Support end-to-end recruitment processes including scheduling interviews, conducting reference checks, and facilitating onboarding and induction of new staff and consultants.
- Maintain accurate and up-to-date staff records, attendance registers, leave schedules, and HR databases.
- Support the preparation and processing of the monthly payroll and staff benefit payments.
- Assist in implementing HR policies, the staff code of conduct, and disciplinary or grievance procedures as directed by management.
- Coordinate staff development activities, performance review processes, welfare initiatives, and team engagement events.
- Ensure strict confidentiality in the handling of all personnel information, HR records, and sensitive organizational data.
4. Compliance and Reporting - Ensure compliance with HPI policies, financial controls, and operational procedures.
- Support implementation of safeguarding, QHSE, and workplace compliance requirements.
- Prepare administrative reports, correspondence, and operational updates.
5. Project and Operational Support - Support project teams in budget tracking, activity accountability, and financial documentation.
- Coordinate field activity financial preparations including advances, accountability follow-up, and payment processing.
- Support preparation of project financial summaries and operational reports.
- Assist management in tracking project deliverables, timelines, and operational needs.
- Support coordination with vendors, consultants, service providers, and stakeholders.
6. Communication and Reporting - Prepare administrative correspondence, letters, and internal communications as assigned.
- Maintain professional communication with staff, clients, vendors, and stakeholders.
- Provide timely updates to management on finance and administrative matters.
- Support preparation of management reports, trackers, and operational summaries.
7. Any Other Duties - Perform any other finance, administration, operational, or organizational duties assigned by management in line with HPI objectives and operations.
Qualifications or requirements (e.g., education, skills) QUALIFICATIONS AND EXPERIENCE - Bachelorâs Degree in Business Administration, Finance, Human Resource Management, or a related field.
- Minimum of 3â5 years of relevant experience in finance and administration.
- Experience working with consultancy firms, NGOs, donor-funded projects, or infrastructure-related projects is an added advantage.
- Strong knowledge of financial management, accounting systems, procurement, and office administration.
- Proficiency in Microsoft Office applications, especially Excel and Word.
- Knowledge of EFRIS, PAYE, NSSF, and Uganda statutory compliance requirements is desirable.
