Working directly with the Director, the role ensures smooth daily operations and contributes to business growth in a fast-paced startup environment. Responsibilities or duties 1. Financial Management & Bookkeeping (30%) - Maintain accurate financial records and daily transaction entries
- Prepare quotations, invoices, and track payments (accounts receivable)
- Process supplier payments and maintain payment records
- Reconcile bank statements and manage petty cash
- Monitor cash flow and project budgets
- Prepare monthly financial reports (cash flow, variance analysis)
- Maintain organized financial documentation for audits and tax purposes
2. Administrative & Operational Support (20%) - Serve as first point of contact for client inquiries
- Schedule meetings, site visits, and project activities
- Prepare quotations, contracts, and project documentation
- Coordinate procurement (supplier sourcing, ordering, delivery tracking)
- Maintain supplier and customer databases
- Manage office supplies, logistics, and filing systems
- Support internal coordination activities
3. Social Media & Digital Marketing (40%) - Manage company social media platforms with consistent content
- Design simple marketing visuals and schedule posts
- Respond to online inquiries and convert leads
- Monitor social media performance and analytics
- Update website and support email marketing campaigns
- Research market trends and competitor activity
4. Customer Service & Relationship Management (10%) - Provide professional and timely customer support
- Handle complaints and coordinate issue resolution
- Follow up with clients post-service and manage feedback
- Coordinate service requests, warranties, and maintenance schedules
- Maintain strong relationships with clients and suppliers
Qualifications or requirements Education - Diploma or Bachelor's degree in Business Administration, Finance, Accounting, Marketing, or related field
- Professional certifications (CPA, bookkeeping, digital marketing) are an added advantage
Experience needed Experience - 1-2 years in admin, finance, or customer service roles
- Experience in startups or small businesses is an advantage
- Social media management experience is a plus
Key Skills - Strong Excel and Microsoft Office skills
- Knowledge of accounting software
- Social media management and basic graphic design
- Organization, multitasking, and attention to detail
- Strong communication and customer service skills
- Tech-savvy, proactive, and adaptable
Performance Expectations - Accurate financial records and timely invoicing
