JOB DETAILS: 1. Job Purpose & Main Missions • Supervise the execution of logistics works for a specific client portfolio. • Manage communication with clients. 2. Position in the Organization Chart Internal Collaborators: • Operators, Customs Declarants, Invoicing Clerks, Delivery/Port Clerks, Customs Clerks, Shipping Lines Clerks, Documentation & FCVR Clerks, Drivers, Implants, Archives, Transport Department, Disbursement Control, Exports Manager. External Collaborators: • Clients, Shipping Lines, Port Authorities, Government Agencies, Subcontractors. 3. Main Tasks and Responsibilities Team Management: • Communicate the entity strategy and set quality service goals. • Assess team performance and maintain competencies. • Handle recruitment in collaboration with HR. • Ensure proper induction for new staff. Client Relationship Management: • Receive and process transit orders. • Request missing documentation when needed. • Inform clients about the progress of their files. • Provide support to credit control for cash collection issues. File Processing Monitoring: • Ensure adherence to Standard Operating Procedures (SOPs). • Allocate files for processing and validate their progress. • Archive files both physically and electronically. • Control file documentation and formalization quality. Operations Management: • Maintain gross margin and disbursements as per quotation. • Select appropriate means for operations and validate supplier invoices. • Alert management in case of quotation discrepancies. Cost Management: • Monitor COM unit costs, including salaries, extra hours, and special fees. Alerts and Information Sharing: • Notify management of significant operational issues. • Inform the sales department of non-compliant quotations. 4. In Case of Absence • The Exports Manager will handle responsibilities. 5. Targets and Goals • Achieve 100% quality-of-service KPI, including client-specific KPIs. • Meet 100% of budgeted costs. 6. Personal Qualities Required • Organized, natural leader, team player, self-starter, problem solver. • Ability to meet tight deadlines and achieve common goals. 7. Required Skills • At least 5 years of experience in clearing and forwarding. • Proficiency in Microsoft Office and email communication. • Excellent communication skills. 8. Tools • Business Software (e.g., SPOT, QlikView). • Financial reports for cost monitoring. • Standard Operating Procedures. • HR support tools and documents.
