JOB DETAILS: SUMMARY OF ROLE PATH Uganda is seeking candidates for the position of Facilities and Administration Assistant. The Facilities and Administration Assistant will primarily be responsible for the day-to-day facilities and administrative support roles of the office and manage the front office desk of the Country office. Responsibilities • With guidance from the Senior Administration officer, work with the office Landlord to ensure all tenancy related transactions such as renewal of tenancy agreements, registration and processing of tenancy bills are executed in time. • Supervise the assignment of the office cleaning firm and ensure the office hygiene meets the basic minimum acceptable standard. • Manage the front desk of the country office and ensure office guests are warmly welcomed and guided to the appropriate office suites • Initiate and follow through the procurement of all facilities and administrative supplies and consumables for the office. • Register incoming invoices from vendors and corresponding delivery notes (DNs) before preparing goods received notes (GRNs) for each delivery note. • Manage the custody and record keeping of the office and general supplies storage facility, updating all appropriate records therein. • Periodically refill office safety and first aid kits • Monitor the supply and proper utilization of office consumables such as water, kitchen consumables and that these are put to proper use without waste and abuse. Minimum requirements • A University degree in Administration, management, or social sciences, community studies or related field from a recognised University. • A minimum of 3 years progressive experience in a similar position. • Strong administrative, communication, written and verbal communication skills. • Excellent interpersonal skills demonstrated ability to interact professionally in an environment of stakeholders with diverse culture. • Demonstrated competence to assess priorities and manage a variety of assignments in a time sensitive, fast paced work environment and be able to deliver required output within the required timelines and with very minimal supervision. • Ability to work independently, take reasonable initiatives, and learn complex procedures within a framework of limited timelines. • Must be fluent in English as the main medium of office communication.
