This role involves capturing, updating, and maintaining employee records, attendance data, and other HR-related information with accuracy and confidentiality. The ideal candidate is detail-oriented, organized, and capable of handling routine data tasks efficiently in a busy manufacturing environment. Responsibilities or duties - Enter data accurately into spreadsheets, ensuring all information is correctly captured.
- Record and track staff attendance, leave days, overtime, and shift schedules using spreadsheets
- Assist in processing new employee documentation, including contracts, identification forms, and onboarding checklists.
- Maintain and organize both electronic and physical employee files, ensuring all documents are properly labeled and easily retrievable.
- Verify the accuracy of entered data by cross-checking source documents and correcting errors promptly.
- Generate basic reports, such as attendance summaries, leave balances, and staff lists, upon request.
- Assist in preparing payroll-related data by compiling timesheets and attendance records for review by the HR team.
- Respond to internal inquiries regarding employee records and provide data support to HR staff as needed.
- Perform general clerical duties such as scanning, photocopying, and filing to support the HR Departmentâs daily operations.
Qualifications or requirements (e.g., education, skills) - Diploma in Office Management, Information Technology, or a related field.
- Basic proficiency in Microsoft Excel (e.g., data entry, sorting, simple formulas) and Microsoft Word.
- Good typing speed with a strong focus on accuracy and attention to detail.
- Ability to handle repetitive tasks with consistency and meet routine deadlines.
- High level of integrity and ability to maintain confidentiality of employee information.
- Good organizational skills and ability to keep records tidy and well-structured.
- Strong written and verbal communication skills.
- No prior experience required; however, internships or volunteer work involving data entry or administrative tasks are an added advantage.
