Front Desk Operations - Receive and attend to all visitors and clients courteously and professionally
⢠Maintain the reception area in a clean and orderly manner 2. Communication Handling - Receive, screen, and direct telephone calls to appropriate offices or departments
⢠Receive and respond to inquiries through email and in-person, or direct them to relevant officers 3. Visitor and Appointment Management - Manage the visitor logbook and issue visitor passes
⢠Schedule and confirm appointments for staff when requested 4. Mail and Courier Services - Receive, sort, and distribute incoming mail and deliveries
⢠Coordinate dispatch of outgoing mail and parcels 5. Information and Assistance - Provide accurate information about the Institute's services, programs, and contacts
⢠Handle inquiries from students, staff, and the public in timely manner 6. Administrative Support - Perform basic clerical duties (filing, photocopying, data entry)
⢠Support administrative events (open days, workshops, meetings) 7. Security and Access Control - Ensure only authorized persons access certain sections of premises
⢠Report any unusual or suspicious behavior at reception area Key Result Areas - Visitor Reception and Management

⢠Training in customer care or front office management (added advantage) ⢠At least 2 years relevant experience in front desk or customer service role (preferably in public institution or academic environment) Skills and Attributes - Technical Skills
