We are pleased to offer an exciting opportunity for a dedicated and results-oriented individual to join our team as a Coffee Buyer, Luwero reporting directly to the Trade and Purchasing Manager. In this role, you will operate within a fast-paced agricultural supply chain environment, responsible for sourcing, purchasing, and handling coffee in line with Company quality standards.
The Coffee Buyer plays a critical role in ensuring that all coffee purchased through the unit meets the required quality specifications, is accurately documented, and is handled, stored, and dispatched to the Central Warehouse (CWH) in a timely and efficient manner. The role demands close collaboration with farmers, buying agents, and internal teams to minimize losses arising from poor handling or storage while supporting traceability and compliance requirements.
This position offers hands-on exposure to coffee quality assessment, procurement operations, stock management, and field-level coordination. It provides strong growth potential for an individual eager to build expertise in coffee trading, quality control, and sustainable supply chain management while contributing to operational efficiency and value creation across the coffee value chain.
Key Accountabilities
1. Purchasing & Dispatch
a. Ensure all coffee is purchased, paid for, stored, and dispatched strictly in line with company standards and procedures.
b. Execute all purchases in accordance with requirements and instructions issued by CWH Management.
c. Ensure timely dispatch of coffee to CWH, minimizing delays, losses, and quality risks.
2. Team Leadership & Conduct
a. Provide effective leadership within the unit by leading by example and upholding the highest standards of integrity, professionalism, and competence.
b. Supervise unit staff and ensure compliance with company policies, procedures, and ethical standards.
c. Manage misconduct in line with approved procedures and escalate all serious or unresolved issues to CWH Management.
3. Quality Assurance
a. Ensure that all coffee purchased conforms to approved moisture analysis limits, grading standards, and applicable penalties.
b. Conduct coffee analysis strictly in line with approved cutting, grading, and quality specifications issued by CWH Management.
c. Ensure all quality-related paperwork and processes are accurately completed, regularly reviewed, and properly monitored.
d. Immediately report any quality discrepancies, errors, or non-conformities to Management.
4. Storage & Stock Management
a. Ensure that all coffee stored at the unit is stacked, labelled, and stored correctly, preventing deterioration in quality or loss of weight.
b. Regularly inspect storage conditions and take immediate corrective action where poor stacking or storage is identified.
c. Maintain clean, safe, and well-organized storage facilities always.
5. Documentation & Reporting
a. Ensure all unit paperwork, records, and reports are completed accurately, consistently, and on time.
b. Share required reports and documentation with relevant roles at CWH in line with reporting schedules.
c. Maintain proper filing and traceability of purchasing, quality, and dispatch records.
6. Coffee Mobilisation & Market Intelligence
a. Ensure customers receive high-quality service when delivering coffee to the company.
b. Maintain a strong field presence and up-to-date knowledge of coffee availability, crop size, customer behaviour, competitor pricing, hulling factory operations, and weather conditions.
c. Collect and share daily market and field intelligence with CWH Management to support purchasing and pricing decisions.
7. Measuring Devices & Equipment Control
a. Ensure all measuring devices and control tools are handled, used, and maintained in line with manufacturer and company guidelines.
b. Ensure regular calibration of key quality devices, including moisture meters and weighing scales.
8. OTHER
All other Unit related work will fall under your general supervision e.g. Bank balances, Unit vehicle supervision, Unit fuel expenditure, casual labor expenditure, Imprest expenditure, Unit security, measuring devices, Unit property rentals and accommodation, hired transport and regional weather surveys etc.
9. ADDITIONAL: You will also carry out other tasks or jobs as Coffee Buyer not detailed above that may be reasonably requested by you by Management.
QUALIFICATIONS
Bachelorâs degree in business studies, finance or any relevant field of study.
At least 5 yearsâ experience working in a similar level role within the Coffee Industry is a MUST.
Commercial acumen (procurement) with the enthusiasm and drive to expand into new markets and increase our customer base.
Customer focused with a passion for ensuring customer satisfaction for existing relationships.
KNOWLEDGE, SKILLS, AND EXPERIENCE:
Experience of logistics, warehouse operations & quality control: an ability to work across all of these areas improving procedures, personnel capacity, taking full responsibility for outcomes for selected areas.
Good interpersonal skills.
Excellent communication skills and a can-do attitude.
Cultural awareness and sensitivity to different attitudes and behaviors.
Robust resilient character with the ability to work autonomously and confidently.
Experience managing cash budgets and imprest is an added advantage
