This role involves direct collaboration with the Finance Manager to maintain financial health and support business operations. Key Responsibilities Banking Operations: - Monitor bank account balances daily and update the Finance Manager on cash flow status.
- Complete regular bank reconciliations to match bank statements with company ledgers.
- Identify and quickly resolve any banking errors, unrecognized fees, or transaction delays.
Check Management & Payments: - Prepare and issue checks, wire transfers, and electronic payments to vendors and suppliers.
- Verify that all payment requests have the necessary managerial approvals before processing.
- Keep a secure, sequential log of all written, canceled, and voided checks to prevent fraud.
Billing & Client Accounts: - Create and send out accurate invoices to clients based on contracts or project milestones.
- Review accounts receivable reports to identify overdue client balances.
- Contact clients professionally to follow up on late payments and resolve billing disputes.
Tax Filing & Compliance: - Calculate and prepare the companyâs monthly and annual tax returns (like VAT and income tax).
- Submit all statutory returns and payments electronically before official deadlines to avoid fines.
- Organize clear tax schedules and documents so the company is always ready for audits.
Filing & Record Keeping: - Organize all financial documents, invoices, receipts, and vouchers into a clear digital and physical filing system.
- Maintain and archive financial historical records according to company policy and legal requirements.
- Restrict access to sensitive financial folders to protect confidential company data.
Petty Cash & Internal Controls: - Manage the physical petty cash box, ensuring it is kept safe and locked.
- Disburse minor cash amounts for approved office expenses and collect a valid receipt for every transaction.
- Reconcile petty cash regularly to ensure the remaining cash matches the receipt total.
Required Skills Core Accounting Skills: - Strong understanding of standard bookkeeping rules, debits, credits, and general ledgers.
- Ability to accurately calculate business taxes and understand basic financial statements.
- Knowledge of internal controls, especially how to keep cash handling separate from record keeping.
Software & Technology: - Hands-on experience using accounting software (such as QuickBooks, Xero, or an ERP system).
- Good command of Microsoft Excel for organizing data, sorting lists, and using basic formulas.
- Experience navigating corporate online banking platforms for transfers and balance checks.
Professional & Personal Skills: - High attention to detail to catch numerical errors in invoicing, data entry, and banking.
